This privacy policy explains how we process your data and author data. In doing so, we are complying with our duty to inform you in accordance with Art. 13 DSGVO.

B. Author and editor management

We process your data in the manner described below.

I. Categories of processed data

  • Name, academic title if applicable
  • Institution/affiliation
  • Address at place of work
  • Email address
  • Telephone number
  • Correspondence
  • Versioned sequence of the processing status of the submitted articles/contri­bu­tions

II. Purposes of processing

We use this data for:

  • Handling of the submission and review process
  • Communication with authors (queries, corrections, contract processing)
  • Publication of articles (online), including author index
  • Management and archiving of correspondence, declarations, and usage rights documents, plus license agreements

It is based on the following legal provisions:

Art. 6 para. 1 lit. b DSGVO (contract/contract-like relationship)

III. Recipients or categories of recipients of personal data

Your data will be processed by internal editorial and proofreading staff. The current editorial team and editorial board can be found on the website https://www.jahrbuch-agrartechnik.de/ueber-uns.html.

In addition, we transfer the data to external parties where necessary. These include:

  • External reviewers (peer review), if necessary for the assessment
  • Hosting providers that we have carefully selected as processors in accordance with Art. 28 DSGVO
  • Libraries, index and abstract databases, if metadata is delivered (name, title, institution)

IV. Data transfer to third countries

As a rule, no data is transferred to countries outside the EEA.

V. Storage period / deletion periods

  • Explanatory documents, usage rights documents, and contribution documents: 10 years after publication or rejection
  • Correspondence and review documents: 5 years after completion of the process
  • Author metadata in publications remain a permanent part of the work and are not deleted, as they are an essential component of scientific documentation.

VI. Obligation to provide data

You are under no obligation to provide us with data at any time. However, if you do not provide us with the data listed above for processing, we will not be able to conclude a contract with you or, if it has already been concluded, fulfill it.

C. Rights of data subjects

The DSGVO guarantees you certain rights that you can assert against us, provided that the legal requirements are met.

  • 15 DSGVO – Right of access by the data subject: You have the right to request confirmation from us as to whether personal data concerning you is being processed and, if so, what data is being processed and the circumstances of the data processing.
  • 16 DSGVO – Right to rectification: You have the right to request that we rectify any inaccurate personal data concerning you without delay. Taking into account the purposes of the processing, you also have the right to request the completion of incomplete personal data, including by means of a supplementary statement.
  • 17 DSGVO – Right to erasure: You have the right to request that we erase personal data concerning you without delays.
  • 18 DSGVO – Right to restriction of processing: You have the right to request that we restrict processing.
  • 21 DSGVO – Right to object: You have the right to object at any time, on grounds relating to your particular situation, to the processing of personal data concerning you which is necessary for the purposes of our legitimate interests or for the performance of a task carried out in the public interest or in the exercise of official authority.

If you object, we will no longer process your personal data unless we can demonstrate compelling legitimate grounds for the processing that override your interests, rights, and freedoms, or the processing serves to assert, exercise, or defend legal claims.

Art. 77 DSGVO in conjunction with § 19 BDSG – Right to lodge a complaint with a supervisory authority: You have the right to lodge a complaint with a supervisory authority, in particular in the Member State of your habitual residence, place of work, or place of the alleged infringement, if you consider that the processing of personal data relating to you infringes applicable law.

If you have given us your consent, you have the right to revoke your consent at any time. In this case, all data processing we have carried out up to the time of your revocation remains lawful. To do so, you can send us a message at jahrbuch-agrartechnik@tu-braunschweig.de.

D. Automated decision-making / profiling

We do not use automated decision-making processes that have legal effects on you or adversely affect you.

E. Data security

We have appropriate security measures in place to protect your data from loss, misuse, and alteration. For example, our security policies and privacy statements are regularly reviewed and improved as necessary. In addition, only authorized employees have access to personal data. Although we cannot guarantee that data will never be lost, misused, or altered, we do everything in our power to prevent this from happening. Please note that data transmission over the Internet is never completely secure.

F. SSL or TLS encryption

For security reasons and to protect the transmission of confidential content that you send to us as the site operator, our website uses SSL or TLS encryption. This means that data you transmit via this website cannot be read by third parties. You can recognize an encrypted connection by the “https://” address line of your browser and the lock symbol in the browser line.

G. Server-Log-Dateien

The website provider automatically collects and stores information in server log files that your browser automatically transmits to us. This includes:

  • Browser type and browser version
  • Operating system used
  • Referrer URL
  • Host name of the accessing computer
  • Time of the server request

IP address  This data is not merged with other data sources. The basis for data processing is Art. 6 (1) lit. b DSGVO, which permits the processing of data for the fulfillment of a contract or pre-contractual measures.
